Japan offers incredible experiences, but the most popular spots do require
some planning...
To help you prepare with confidence, Iâve organized the essential booking timeline below based on my experiences of working for travel agency.
This guide separates what needs to be secured months ahead from what you can handle flexibly once you arrive.
đ 3â6 Months Ahead
âïžInternational Flights (Transportation)
I recommend booking an "open-jaw" ticket (e.g. into Tokyo, out of Osaka).
It eliminates the time and cost of a round-trip backtrack.
đšLuxury Hotels & Historic Ryokans (Accommodations)
Top-tier icons and traditional ryokans have limited room inventory,
and prime room categories...especially for weekend stays, sell out fast.
Lock these in immediately after booking your flights to secure the best rates and availability, particularly for Cherry Blossom or Autumn seasons.

Express Passes: Not mandatory, but recommended to guarantee Nintendo World entry in advance and skip long lines.

Disney Premier Access (DPA): You can get digital skip-the-line passes via the official app immediately after entering the park. No advance booking needed.
(đ”Cost: „1,500 â „2,500 per ride or parade).Where to Book: The official app is essential inside the park, but the website often rejects foreign cards for ticket purchases. Klook is a seamless alternative to secure entry tickets.

Intimate counters and world-renowned establishments fill up within minutes.
Set alarms for the exact release times on official platforms like OMAKASE or TableCheck.

Opens exactly 4 weeks (28 days) in advance. Midday and late-night are easy, but sunset slots disappear instantly.

Large capacities mean no instant sellouts, but weekend mornings fill up a few weeks out. Secure them once your itinerary is set.

đžKimono Rentals & Private Photographers
Basic rentals are fine last minute, but premium silk kimonos and highly-rated English-fluent photographers need 3â4 weeks' notice.
đ 1â3 Weeks Ahead: Infrastructure
đ±Pocket WiFi & eSIMs (Connectivity)
Book physical routers 2 weeks out. If your phone is carrier-unlocked, a digital eSIM bought a week prior is cheaper and seamless.
My recommendation is Sakura Mobile because of its support and network connectivity.

đ„Strict Dietary Restaurant Reservations
Dedicated, high-quality vegan, gluten-free, or Halal spots are still limited in Japan. Lock these down early to avoid dinner struggles.
đPrivate Airport Transfers (Transportation)
Skip the train/taxi lines post-long-haul flight. Book a luxury private chauffeur (Toyota Alphard) a few days before arrival.

The following items can easily be handled on the ground or closer to your dates based on my experiences!
đStandard Shinkansen (Bullet Train) Tickets
The Reality: Outside of major holidays, trains run every few minutes.
You can easily buy reserved seats a day in advance or right at the station window.
Tip: Download the Smart EX app or acess to EX website before leaving home to book and change seats seamlessly from your phone.
(Note: 1-month advance booking is mandatory ONLY during Golden Week in May, Obon in August, and New Yearâs!!)
đCasual Dining & Local Pubs
The absolute best neighborhood ramen shops, standing sushi bars, and local izakayas donât even accept reservations. Follow the local queues.
đłLocal Metro & Luggage Shipping
For city transit, simply add a digital Suica or PASMO card directly to your Apple/Android Wallet.
For luggage forwarding (Takkyubin), no pre-booking is needed; just hand your bags to your hotel front desk the morning you travel.
